Working with your Artifact Library: Adding files and Internet Addresses (URL's)

Uploading files to your Repository:

Use this methods to take a file that is on your hard drive and move it to our server on the Internet so that it can be seen by others as a linked file to one or more of your ePortfolio pages.

1. Click the Artifact Library button.

2. You will be presented with a screen that looks like the one in the top right-hand cell of the table below.

Step 1: Locate the section of the Artifact Library that looks like this and click the Browse button and locate a file you want to transfer to your Artifact Repository at Chalk & Wire.
Step2: Once you locate the file you want and select it on your computer, the file's name will appear in the "File on your computer:" box.

Click the " Deposit File" button

Step 3: Register your file.

At the top of screen you can see the actual address where your file is now located on the Web (you can click this address to check the link).

To register the file, follow the four steps described in the column to the right.

1. Give the file a title. Usually people use names for files they would not wan to use as the name of the artifact that people will actually see. You can give the artifact a new name that will appear to viewers by entering it in the "Title" box.

2. Identify the type of file you are registering. Click of the "Type" drop menu. A documents that ends with ".htm" or ."html" is a "Web Page". A files that ends in ".pdf" is an Adobe "Acrobat File". One that ends typically in ".avi" or ".mov" is a "Video" file. There are many endings for Audio files (.aif, .wav, .mpg3. .mpg4 etc). Consult with local technical help to assist you in determining what type of file you are registering if you are uncertain.

If your file is not one of the above, then it is not directly viewable from a web browser. For example, Microsoft Word, Excel and PowerPoint files (which end with ".doc", ".xls" and ".ppt" cannot be seen in a web browser. You can still upload them to your Artifact Library, but when they are viewed by those who see your portfolio, the files will be downloaded to the viewer's computer. Depending on the way the computer has been set up, the file may be automatically opened, or it may not. That is the risk. We recommend you save these files as "web pages" in the first place, or "print them to PDF (Adobe Acrobat) as these file types can be seen on the Web. Consult the user help files for each of your Microsoft products to see how to do this. It is really quite easy to do. If you decide to upload one of these files without saving them to a web-viewable format, or you are uploading any other file that is not covered by the choices on the "Type" drop menu, choose "Other" as the type of file from the drop menu.

3.Choose the folder to put the file into. Use the last drop menu to decide what folder (if you have created any) you want the file to be saved to. Note: This drop menu will not appear if you have not created any folders. For more information about creating and managing file folders click here.

4. Click the Register button

Deleting files from the Artifact Library list.

Some CAUTIONS:

1) Deleting a file from the repository (by checking the box, then clicking the "Delete" button) is permanent. You will have to re-deposit the file from your own computer if you want to use it again.

2) Deleting the file from the repository will not remove it's entry from the Artifact Library. You will have to delete the entry from your Artifact Library as a second step.

3) Any portfolios that use this file will no longer display it and will have to be edited.

Option 1 : Delete a file from the file list, but leave it on the server.

You may want, from time to time, to delete a file or a folder from the list you see in the Artifact Library. Locate the file. Check of the check box beside the file and click the Delete button. NOTE: this does NOT delete the file from the server, only from the list.

Option 2: Deleting a file permanently from your Repository.

This will delete the file from the server. Locate and click the "Edit Repository" button under your list of files in the Artifact Library. In the next screen you see, locate the file you wish to eliminate. Check the check box beside it, and then click the Delete button. It has now been removed from the server.

Moving a file to another File Folder If you have created file folders in your Artifact Library you can easily move files from folder to folder. For more information about creating and managing file folders click here.

Once you create a file folder "Move" buttons appear beside each file.

1. Click on the Move button for a file you want to move.

2. Choose the Destination folder you want the file to go to.

Click the "Return" button to complete the operation.


Catalog a file on a different web server (adding URL's as links to your ePortfolio)

You can use this second method to create links to resources that are already on the web, but are not on our server. To do this:

Step1. Locate the file or resource on the Internet using your web browser (or have the address handy to copy and paste from another file). You need the full address for the resource such as "http://www.nameof theserver.filename.html"

Often the easiest way to do this is to open a new page in your Web browser. Go to the page or resource on the Internet and copy the address from the location field in your browser.

Step 2. Register the file. Once you have the address, use the bottom form on the Artifact Library page entitled "Catalog a file on a Web Server"

1. Paste in the URL in the box provided. (Internet address of the file)

2. Fill in the Title box to give the file a name you would like to use as the title for the link in your portfolios

3. Classify the type of file your are registering. Use the "Type" drop menu to identify the kind of file you are registering. Most will be a "Web Page" because the URL is usually a web page address.

4. Choose the Folder (if you have created any) you want the URL link to be stored in.

5. Click the "Register" button.


Returning to edit your Portfolios

Once you have completed uploading files or cataloging URL's and registering them, you will likely want to get back the to the portfolio you are editing. To do this, click the "Return" button at the very bottom of the screen.
