Site Settings Page

From here you can manage the administration tasks relating to automatic email, passwords and student identification.

 

To edit the details for your customer group, click the Policies link listed in the Actions column. This will let you set the following options (described in detail below) :

  • Allow advisor groups- Choose whether assessors can see the grades that other assessors have given students.
  • Collect student/employee number on registration
  • Collect student/employee number on login
  • Options on Forgot Password screen- Options for what happens when students have forgotten their password.
  • Prevent students from seeing results- You can optionally make sure that students won’t see their results.
  • Prevent e-mail to assessors- When work is submitted for assessment, assessors are usually notified of this via email. You can `witch this off if they receive a lot of emails a day.
  • Analyze assessor performance- Allow or disable the ability to run reports comparing the performance of individual assessors.
  • Multiple simultaneous submissions- Applies if a portfolio page has multiple rubrics that it can be assessed on.
  • Inactivity Timeout- If you haven't clicked a button within a certain period, you'll be asked again for your password. You can set it to timeout after either 15 minutes or 30 minutes, but be aware that the latter will decrease the security of your site.

This will take you to a screen where you can customize the following options for your installation:

Policy options

1. Advisor groups let you see all the results for a student, no matter who has carried out the assessment. When this is off (the default), assessors will only be able to see the results of assessments that they (rather than anyone else) have carried out on a particular student's work.

If this option is checked, assessors will still have to make each group an 'advisor' group as necessary- the Allow advisor groups checkbox just decides whether this option is open to them or not.

 

2. Gather a Student ID number if the user is logging in the first time, and has never used ePortfolio before.

 

3. Check to see if you have a Student ID number on each ePortfolio user, everytime they use their portfolio.

 

4. Provide a range of options in case the user forgets their password.

 

5. This gives you the option to stop students from seeing their results in ePortfolio, allowing them to simply submit work and not to be able to check the results of that submission.

 

6. This option is for your faculty if they are being swamped by emails telling them that assessments are ready. It does mean, of course, that they'll have to log in to ePortfolio in order to determine if there is any work for them to assess.

7. If you have portfolio pages that can be assessed on multiple rubrics, this option lets you decide how submissions will be handled. The default setting (Prevent) lets the student choose only rubric to submit on, and gives them one set of assessors to submit to. If you choose Allow, the student can submit to multiple rubrics and will choose from a set of assessors for each rubric they submit on.

 

8. ePortfolio defaults to a timeout period of 15 minutes- if you haven't clicked a button within that period, you'll be asked again for your password. If you find this period is too short, such as when you're entering rubrics, you can set it to timeout after 30 minutes but be aware that this will decrease the security of your site. This option affects all ePortfolio users on your site.

If security is an overriding concern, you should set the timeout period to 15 minutes, and make sure that users click 'Log out' at the top of any screen, rather than just closing the browser.
