Newsletter Recipients Page

This is where you can setup which people will receive the newsletters. Before you can send any newsletters you must have at least one person listed as 'Opted in' to receive them. Newsflashes are unaffected by the Opted status, as they are shown according to the Chalk and Wire service you are logging into, and by your account type.

Listing Users

Status menu: Change the status dropdown menu to show what you are interested in, and click Change.

The Status dropdown menu at the top of the page determines which users you will see listed below. The choices are Opted In, Opted Out and Undecided. For example, to see which people have opted to receive newsletters, change the dropdown menu to read Opted in, and click Change on the right.

When first adding people to the newsletter list, you will probably want to examine those that are Undecided, as this is the default setting for users that have not actively chosen whether they will or won't receive emails.

Letting People Receive Newsletters

Opted Status: Click a radio button under the Opted column, and click OK at the bottom to record the change.

People are listed alphabetically by their surname. Find those that you want to change their recipient status and in the Opted... column choose In, Out or Undecided to let them either receive newsletters or not. There are a couple of things to bear in mind with newsletter lists:

  • Multiple Accounts - If you have multiple accounts, such as an assessor and an administrator account, and they have the same email address, opting one of these accounts out of the newsletter service will opt all of them out.
  • Opting people in without their permission - If a person has opted out (as described below) they should not be opted back in without their express permission. There may be legal ramifications if a person is sent email after expressly opting out.

People Changing Their Own Status

Students, Assessors, and other users may want to change their newsletter status by clicking the Unsubscribe link that is added at the bottom of each newsletter email that is sent to them. Administrators will see any changes made here in the Events page.

Administrators can also opt themselves out from here, the Recipients Page. However, if another person has opted In or Out, as an administrator you should not change that setting without their express permission. There may be legal ramifications, for example, if a person is sent email after expressly opting out.
