About Access Codes

Accounts are created on the Codes page. From here, you can use either bulk or individual access codes to create new accounts and renew existing accounts. Student accounts are purchased from Chalk & Wire; include a PO number in the email request if your school uses a PO system. Assessor, subadministrator, and administrator new accounts and renewals are provided at no cost. Email the support help desk to request additional accounts of these types.

Bulk registration codes - You can add users with a minimum of information, that is, full name and email address, using the simple form for user import. Enter the information using either tab (Excel), pipe (|), or comma delimiters. The system generates a list of userIDs (first initial and last name) and passwords for distribution to your new account holders. You may also use the Advanced Form to add users with more account details, such as password, department, student or employee number, and requested userID. Paste the data from an Excel spreadsheet into the textbox on the Import Users screen and click ‘Continue’ to complete the process. Or you may use the Pipe [|] or comma [,] delimiters. After you have activated new accounts, your balance of available codes is reduced by the corresponding number of accounts.

 

Individual access codes - When you purchase individual access codes, you will be provided with a spreadsheet of codes with 9-alphanumeric characters for distribution to individual users. Often the university bookstore will purchase these access codes and sell them individually to students, much as they do a textbook. Renewal codes may also be purchased as individual codes.

 

Things to consider about codes - Some schools purchase bulk codes and set up accounts themselves, distributing the userID and password to individual students and assessors. Most schools sell access codes (new and renewals) through the local campus bookstore. Bookstores purchase individual codes directly from Chalk & Wire and resell them as they do textbooks.

 

As an administrator you have access to the list of codes that the bookstore has purchased. Once the account is activated, you can view the name of the person who activated the code, the date of activation, and the expiration date by clicking the Show Table link under the Individual Registration Codes heading on the Codes page.

Another thing to consider is that you should NOT activate the accounts prior to providing the code to the student. If you activate a code and the student, for whatever reason, does not use the account, it cannot be deleted. Account that have been activated will not be deleted.
